  • All associated digital and AI-assisted interfaces

By using mySIGNET™ services, you consent to the practices described in this Policy.

4. AI Systems & mySIGNET™ Console

mySIGNET™ includes AI-assisted components delivered through private interfaces.

Important Clarifications:

 

• Your interactions within the mySIGNET™ Console may be processed by AI systems to generate personalized responses.

• mySIGNET™ may store profile information, saved insights, conversation history, session titles, and related activity to provide continuity across sessions and support your personalized experience.

• Information stored within the mySIGNET™ platform is used solely to deliver, maintain, and improve your mySIGNET™ experience.

• Access to stored profile information and conversation history is restricted to authorized administrators and collaborators for support, maintenance, troubleshooting, and platform operations.

• Data stored within mySIGNET™ is not sold, rented, or used for advertising purposes.

• AI-generated responses may be delivered through third-party AI providers. Data submitted through these services is used solely to provide the requested functionality and is not intentionally submitted for external model training through the

OpenAI API or similar enterprise AI services.

 

Continuity & Personalization

To provide a personalized and continuous experience, mySIGNET™ may retain certain profile data, saved insights, and conversation history. This allows users to return to their Console and continue their journey with greater context and continuity.

 

Anonymization

Where AI tools are used:

• Inputs may be abstracted, minimized, or anonymized where appropriate.

• Data is used only to support your experience, maintain service functionality, improve system performance, or provide continuity across sessions.

 

You may request limited use of AI-assisted features where applicable.

5. Third-Party Platform Dependency

 

mySIGNET™ AI functionality is delivered through third-party platforms, including systems provided by OpenAI and related

infrastructure providers.

By using mySIGNET™, you acknowledge:

  • Your data may pass through these systems as part of delivering the service

  • These platforms have their own privacy and data handling policies

  • Astromic Solutions does not control their internal operations

We take reasonable steps to:

  • Minimize exposure of personal data

  • Avoid unnecessary identifiable information in AI interactions

  • Work within privacy-conscious configurations where possible

6. Data Storage & Security

We store your information using secure systems, including:

  • Encrypted cloud storage

  • Password-protected Google Workspace environments

  • Multi-factor authentication systems

Access is limited to authorized personnel only.

We take reasonable administrative, technical, and physical safeguards to protect your data.

We retain your data only as long as necessary to:

  • Deliver your mySIGNET™ experience

  • Provide ongoing or returning client support

  • Maintain continuity of your identity system

Data Deletion

You may request deletion at any time.

Upon request:

  • Your files will be permanently deleted within 30 business days

  • Confirmation will be provided

Note: Some anonymized system-level data may remain for operational integrity.
